The Administration Assistant at OAWG plays a pivotal role in supporting both the Assistant Manager and Manager by delivering high-level administrative assistance in line with financial management legislation and policies within Papua New Guinea. This position oversees several significant sites including War Cemeteries and Memorials, ensuring crucial financial operations and record-keeping is maintained efficiently.

Requirements

  • Process financial transactions, including preparation of purchase orders and authorisations for payments.
  • Maintain accurate financial records and reporting, ensuring timely processing in the relevant financial management systems.
  • Liaise with stakeholders to coordinate the correct processing of payments, receipts, and journals promptly.
  • Provide monthly and ad hoc reports to senior staff on finances and other matters as required.
  • Provide leadership, training, and guidance to colleagues on policies, processes, and systems.
  • Manage and maintain asset and equipment registers for portable and attractive items, conducting regular stocktakes across three OAWG sites.
  • Manage and maintain stock control systems, including the ordering and delivery of supplies, and monitoring the use of consumables.
  • Manage records for maintenance of machinery & equipment, including ordering parts and arranging repairs at three OAWG sites.
  • Respond to queries and correspondence regarding various financial matters.
  • Assist with administrative support for the work area and perform other duties as necessary.
